Date Availability & Last-Minute Orders
It is imperative for us to receive ample notice for all events so that we can plan and staff accordingly. Please let us know as soon as possible any and all event details if you will require food & beverage so that we can add your event to our calendar.
We understand that last-minute needs arise from time to time and make every effort to accommodate them. Last-minute events may be subject to substitutions and alternate accommodations depending upon available products and staffing. Events booked with 24 hours or less notice will incur a $25 rush order fee. Please contact the Catering Department directly to book events within 48 hours.
Event Confirmation & Final Count
Confirmation Submission of your Catertrax order will serve as confirmation of your event, along with applicable payment information. No additional signature is required. Any changes or cancellations should be communicated directly to the Catering Department.
We will need a final guest count a minimum of three (3) business days prior to your event. This final count is the minimum number of guests you agree to pay for, even if less guests show up.
Allergies & Dietary Restrictions
We are able to accommodate most any dietary restriction or allergy, including gluten-free, nut-free, vegetarian and vegan. Please provide any details about allergies or restrictions within your group so that we can ensure all guests are accommodated. Unfortunately, we are unable to prepare Kosher or Halal meals.
Substitutions & Changes
Product availability is an ongoing issue due to the COVID-19 pandemic. Some items may at times become unavailable due to supply chain challenges. We will keep you abreast of any potential challenges with ordering certain items and will always discuss possible substitutions if the need arises.
Any changes to food & beverage items by customers are also subject to product availability.
Payment, Tax & Deposits
Payment methods must be identified prior to all events. Accepted forms of payment include Budget Codes (Arcadia employees only), cash, check, VISA, Mastercard, American Express and Discover. If a guaranteed form of payment is not received 48 hours prior to the scheduled event, catering services may not be rendered.
Arcadia-related events do not incur sales tax. The applicable Pennsylvania tax rate of 6% will be applied to all other events, with the exclusion of tax-exempt organizations and companies. Sales tax will also apply to personal events booked by Arcadia employees.
Events booked by Arcadia staff and faculty do not require a deposit. External bookings by groups not affiliated with Arcadia University require a 20% deposit, payable by cash, check or credit card. Deposits will be deducted from the final bill and are generally refundable. Refund status is dependent upon advance notice of cancellation.
Cancellation
We understand that last-minute changes happen and are happy to work with you on rescheduling your event. Fees may be incurred depending upon the amount of cancellation notice received and event type.
Linens
Complimentary
non-floor length white or black tablecloths will be included for Metz-provided food and beverage tables (including bar service). Additional tablecloths for other tables, including guest seating, high top tables and registration tables, are available at an additional cost. Floor length tablecloths are available at an additional cost and a variety of colors. Advance orders of one week are required for floor length tablecloths.
Bartenders & Servers
Metz
must provide bartending services for any alcohol that is served on campus at any event. However, the alcohol must be purchased by the customer, as Metz is prohibited from purchasing event alcohol. Any Arcadia employee booking an event that includes alcohol must also complete an Alcoholic Beverage Notification Form, which must be submitted to the Dean of Students and Auxiliaries Risk and Insurance for approval. Please contact us for bartender pricing and a copy of the form (if needed). Bartending service is based upon availability and bartenders must be booked at least one week in advance.
Delivery
Metz does not charge a delivery fee for catering orders delivered to Arcadia buildings, including off-campus locations (ex: University Relations, Oak Summit). All outside/off-campus events will incur a $50 delivery fee.
